5 Best Practices for a Successful Virtual Event in 2022

Who knew back in 2020 that we would all be living through a trilogy?  All of those early awkward Zoom mishaps are now old jokes and we are feeling more comfortable than ever in our video conferencing skills.  Virtual events in senior living are not going away anytime soon, so before you plan your next one take into account these 5 ways to elevate the experience for your prospects.

Grab Their Attention

What is the most commonly asked question your community is getting these days?  What are families curious about or needing to know before making a decision?  There is your topic!  Are they struggling with everything it takes to sell their house, then maybe it’s a downsizing and real estate presentation?  If the family is worried about mom’s transition maybe it’s time for a resident panel to share what it’s REALLY like to live in your community. Nothing sells better than a happy resident! You will find your topics as you listen to your prospects.

Choose the Best Presenters

The CEO may be a great leader of your organization but is she comfortable making a presentation on camera over the internet to a virtual audience?  A virtual event requires a quality presenter with a professional and conversational presentation.  You want the community’s first impression to convince families that your community is the BEST fit!  That includes your marketing messenger too.  Save a few minutes at the beginning or the end of the virtual event to highlight what’s going on in your community, and always leave time for Questions & Answers with your audience.

Optimize Attendance

Start by cleaning up your prospect list.  An up-to-date list will improve attendance.  You don’t want to send an invite to someone who has already moved in or has already moved on to another community.  If your marketing team is staying connected with your prospects this is also the perfect time to pick up the phone to tell them an invitation to your virtual event is on the way.  It makes for a great touchpoint opportunity!  And don’t forget about spreading the word on social media.

Pictures and Words Matter

From the moment your prospect receives your invitation in the mail or the inbox you want them to know your community is a cut above the competition.  From the invitation to the RSVP response to the presentation slides and graphics you want them to know just how much they matter to you!  Professionally produced visuals with a message that’s about them (not you) says that. Provide them with information that is valuable to them. Yet, there’s nothing wrong with including a video about your community during the presentation. It is a great way to visually communicate just how wonderful life is for your residents.

Test Your Tech

No one wants is a last-minute panic because a camera doesn’t work, the microphone is silent, or the software needs an update.  Test the tech several times and rehearse your event too!  It’s important your presenter is comfortable switching between the presentation, various presenters and managing questions. Sloppy production can leave a bad impression and even prevent people from returning for the next virtual event.

Produce a Stress-Free Virtual Event

Virtual events can be a highly effective marketing tool when done well and can produce measurable results.  It’s a service we specialize in at SeniorVu.  SeniorVu virtual events produced for clients in 2021 averaged more than 50 attendees per event, with an impressive conversion rate.

“38% of our move-ins this past year attended one or more virtual events produced by SeniorVu before making a deposit,” said Lynn Tenbrink, Director of Marketing and Sales at Lakeview Village.  Of their pending move-ins, Tenbrink says 68% have attended one or more virtual events produced by SeniorVu.

SeniorVu follows a 52-point process to produce each client’s customized virtual event. Their professional marketing and technical teams, and broadcast quality facilitators make the process stress-free for clients.  Easy online access for attendees makes it comfortable for families to join the presentation and participate, too. Your prospects will never know SeniorVu is behind the curtain producing your event.

If you’re ready to stand out from the competition with a professionally produced Virtual Event, SeniorVu is waiting in the wings to help you shine.
